The WP2 platform allows practitioners to easily create and schedule Classes through an intuitive front-end interface for the group of users they are a direct coach of. Practitioners can choose services, select available time slots, and complete the booking process online.
Prior to proceeding with the below steps, the practitioner needs to ensure they are added into the Amelia scheduler via the Admin Portal. If you do not have access to the Admin Portal, please reach out to your WP2 Support team member to ensure the Employee, Locations, and Services are appropriately filled out.
User Interface
Navigate to Classes Section
Select Classes from the Menu Pane
Set Practitioner Details
In the top right-hand corner, select Practitioner Details.
Note: Practitioner Details carry-over between the Classes & Appointment modules. If you have already completed this step, please skip down to the Create a New Class section.
Once the Practitioner Details box populates, there are five different sections that can be filled out: Personal Details, Services, Working Hours, Days Off, & Special Days.
1. Personal Details:
Under Personal Details, your Name & Email will populate automatically. The Location will populate automatically based on what was set in the Admin Portal. This can be updated by selecting the dropdown and selecting a different Location.
2. Services:
In this view, a practitioner can select a service they will be providing. All services are created by the administrators; however, a practitioner can select only the services that they are offering. Max Capacity Per Booking fields is set to “1”, but you can modify this to a greater number which just means that a certain time slot may be available more than once. Practitioners need to select a service in order for customers to book those services.
3. Working Hours:
This is where practitioners will add their working hours for the week. Practitioners can create working hours for one day and then copy to other days by clicking on the “Apply to All Days” button. Practitioners need to have their working hours set in order to be visible to users trying to book services.
4. Days Off:
Next, select Days Off to input Holidays, Vacation Days, etc which you would not want availability to be shown. Days Off will override any work hours or special days that is inputted.
5. Special Days:
Finally, select Special Days. This will allow you to adjust your hours worked, services, and location if needed for a specific period of time. Special Days will only override your original working hours set.
Once all of your Practitioner Details have been set, please select Save Changes in the bottoms right of the box.
Create a New Class
Select New Class from the top-right corner
Next, you'll need to fill out the Details & Settings of your New Class
Required Fields Include: Name, Start Date, End Date, Start Time, End Time, & Location
If you would like this Class to be repeated through a specific time-period, Select Recurring Event. You can also tailor it if you would like Booking to Open Immediately, as well as when Booking should close.
Next, Select Settings and Select any time requirements required before cancelling, as well as the maximum number of spots allowed to book. Once everything is filled out, Select Save.
Once Saved, you will be able to monitor bookings from the Classes homepage. You can filter your classes based on specific locations or see all of your classes at once.
You can find the Attendee list by clicking on the human outline, make any updates to the class by selecting the pencil, and get a quick snapshot of the class by selecting the down air in the top right of the class box.
Note: Practitioners will only be able to see their own classes created & no one else.
